Booking settings
Turn on the Booking addon, customise your booking form, and configure site-wide booking rules.
Open Addons in the sidebar and click Set up (or Settings) on Booking. The Booking page has four tabs: Sources, Custom Booking Form, Settings, and Analytics. You can also click View Reservations in the top bar anytime to go straight to your reservations.
Switch booking on
- Booking requires Guest Accounts to work. If Guest Accounts is off, click Turn on Guest Accounts first.
- In the Sources tab, switch on Enable Booking.
Once enabled, the Sources tab lists every tour on your site that accepts bookings. You turn booking on or off for each individual tour from the tour's own editor—see Tour booking settings.
On the Free plan, a site can take up to 5 online bookings in total. Cancelled bookings count toward this limit, while walk-in bookings and test bookings made on your preview do not. Upgrade your plan for unlimited bookings—see Plans and billing.
Custom Booking Form
Every booking type (such as Tour or Activity) starts with a standard booking form. If you want to collect extra details from your guests:
- Open the Custom Booking Form tab, select the booking type, and click Create form. (Your custom form will apply to every tour that uses that booking type.)
- Use the two views to build and arrange your form:
- Fields: Click Add Field and set its Label, Type, Options (for dropdown/choice fields), an optional Placeholder, and whether it is a Required field.
- Guest count & pricing roles: A number field can be set to Count toward capacity and assigned a Pricing role (Charged guest, Adult, Child, or Infant). Tours priced using Different price by guest type require number fields mapped to the Adult, Child, and Infant roles.
- Pickup routing: Mark a field as Pickup location to automatically group guests into transport zones.
- Layout: Arrange your fields into rows (Full width, Two columns, or Three columns), then click Save Layout.
- Fields: Click Add Field and set its Label, Type, Options (for dropdown/choice fields), an optional Placeholder, and whether it is a Required field.
Settings
Configure site-wide booking policies in the Settings tab:
| Setting | What it does |
|---|---|
| Cancellation Policy | Switch on Allow customer cancellation to let guests cancel their own confirmed reservations from their account, up until your Deadline before booking date (in hours). |
| Capacity Alerts | Sends you an email notification when a tour is running low on seats—set your preferred Low capacity threshold. |
| Payments | For tours that require online payment: set Hold unpaid bookings for a specific number of hours before automatically cancelling them to free up seats. |
| Blackout Dates | Block specific dates from accepting new reservations across your entire site, with an optional reason. |
| Email Forwarder | Automatically send a copy of every new booking notification to additional Recipient emails (enter one email per line). |
| iCal / Calendar Feed | Copy your Feed URL to subscribe to your bookings in Google Calendar, Apple Calendar, or Outlook. Tick Include pending bookings to also show bookings awaiting confirmation. |
| Email Templates | Customise the confirmation and reminder emails sent to guests. Leave a template unchanged to use the default wording. |
Analytics
The Analytics tab shows your booking volume, revenue trends over time, and where your guests came from.
